A custom education management solution: from spreadsheets to a system that scales

When a growing education company still runs on Excel, operations eventually become the bottleneck.

Fun and School, an Italian after-school program teaching English, needed more than a calendar tool. They needed a centralized management system that could organize their daily operations, reduce manual work, and create a stronger foundation for growth. Nexus stepped in to frame their internal company processes, design the operational flow, and develop phase one of a custom management system built around the way their business actually works.

Client Background

Fun and School was growing with a clear mission: helping children improve their English through structured after-school programs. But behind the scenes, their operations were becoming harder to manage. The team relied heavily on Excel for calendar management, scheduling, and internal coordination. What once worked for a smaller team started creating friction as the company needed to manage more students, teachers, classes, locations, requests, attendance, and payments.

Operational Transform

Diagnosis, design, then build

The teaching was never the problem, the plumbing was.

The issue
was not Excel itself.

The deeper challenge was that Fun and School’s operations were spread across manual processes, disconnected files, and repeated administrative work.

Key pain points included

A1

Calendar management depended on manual updates.

B4

Student, teacher, class, and location information were not centralized.

C7

Requests and attendance tracking required unnecessary coordination.

D2

Payments were not fully connected to the operational flow.

E9

The team needed a system that could support growth without increasing internal chaos.

Fun and School did not need a generic software tool.
They needed a digital operating system designed around their real workflow.

The Nexus Diagnosis

Nexus identified that the real bottleneck was not scheduling alone. It was the absence of a centralized operational structure.

Before designing the system, Nexus worked on understanding how the company functioned internally: how classes were created, how students were managed, how teachers were assigned, how locations were organized, how requests were handled, how attendance was tracked, and how payments connected to the daily workflow.

The goal was not to force Fun and School into a ready-made platform. The goal was to translate their internal process into a system that made their work easier, clearer, and more scalable.

Our Approach

Nexus approached the project as the first phase of an internal digital transformation.

1

Process Framing

We mapped Fun and School’s internal operations and understood how their team managed students, teachers, classes, calendars, requests, attendance, and payments.

2

Workflow Structuring

We transformed manual processes into a clearer operational flow that could be translated into a digital management system.

3

UX/UI Design

We designed a system that was simple for the internal team to use, making the workflow easier instead of adding more complexity.

4

Custom Development

We developed a tailored Phase 1 management system based on Fun and School’s actual operational needs.

5

Operational Digitalization

We helped the company move from Excel-based coordination to a centralized digital environment built to support scale.

What We Built — Phase 1: A tailored education management system

Nexus designed and developed Phase 1 of Fun and School’s internal management system. The system included the core operational modules needed to manage the company’s daily work:

Each module was designed to support a specific part of the company’s workflow, while also connecting to the bigger operational structure. Instead of managing the business through scattered sheets and manual updates, Fun and School gained one centralized system where their team could organize, track, and manage their work with more clarity.

Results & Impact

Phase 1 gave Fun and School a stronger operational foundation. The impact was not only technical. It was structural.

Scattered sheets and shared files

One centralized system

Manually updated calendar

A clearer calendar and class process

Records spread across files

Organized students, teachers, locations

Requests handled by memory

A structured way to handle requests

Attendance and payments on the side

A digital attendance and payment workflow

Stacked layers

A centralized system for managing key operations.

Lightning bolt

Less dependence on Excel and manual coordination.

Upward trend

A scalable foundation for future system phases.

Nexus helped Fun and School move from manual administration to a more organized digital operation.

Strategic Takeaway

Growth does not only depend on demand. It depends on the systems behind the business.

For Fun and School, Excel was no longer enough to support the way the company was evolving. By framing their internal processes and developing a custom phase one education management system, Nexus helped the company create the operational clarity needed to scale with more control, structure, and confidence.
